As a fast-growing company, we’re looking for an Administrative Specialist who is organized, detail-oriented, and has a natural talent for working with numbers.
what you'll do
As part of our international team, you’ll play a key role in ensuring smooth financial operations and administrative efficiency.
- Full-cycle bookkeeping, including accounts payable, receivable, and general ledger entries.
- Daily bank and credit card reconciliations to ensure timely and accurate financial records.
- Preparing and analyzing monthly financial reports, including variance analysis.
- Supporting international accounting operations (invoicing, payments, reconciliations).
- Assisting with tax preparation and ensuring compliance with local, state, and international tax regulations.
- Ensuring financial records and filings comply with accounting standards and internal controls.
- Supporting audits and working with external accountants or tax advisors where needed.
- Tracking cash flow and supporting budget preparation.
- Administrative tasks such as document management, HR support, and payroll processing.
- Working closely with global colleagues to improve processes and implement best practices.
what you bring
- Proven experience in a financial or administrative role, ideally with reporting and tax exposure.
- Hands-on experience with bank and credit card reconciliations and monthly closings.
- Strong analytical and numerical skills.
- Familiarity with tax filings, compliance requirements, and audit preparation.
- Proficiency in MS Office (especially Excel); knowledge of finance software such as Quickbooks and Odoo are a plus.
